Although Southwest Airlines does not offer State contracted fares, it offers competitive fares on some popular routes, and using SWABIZ can be cost-effective.
With approval from your travel program coordinator (see below), you may create a SWABIZ account. This account is used to bill Southwest Airlines charges directly to a central department account.
After you sign up, personal information and travel preferences are retained, as well as portions of the billing process, making it simple and quick to book your next reservation on Southwest Airlines.
Another advantage of setting up a SWABIZ account is that the department travel program coordinator can manage the account for reporting purposes, such as tracking department use of certain routes.
Before you create your account You will need the following information before you set up your SWABIZ Traveler Account:
- SWABIZ Corporate ID number, obtained from your department travel program coordinator.
- The department Individual Reference Number (IRN) which you obtain from the travel program coordinator or accounting department. This identification number is a State department reference code (such as a billing code), used to track department travel volume.
- Your email address and a password of your choice. You will be prompted to enter this information during the online set up process at http://www.swabiz.com/.
- Southwest Airlines Rapid Rewards Number. If you already have a Rapid Rewards Account, please use your existing account number. If you do not have a Rapid Rewards Account number, obtain one by going to http://www.swabiz.com/. Print the Rapid Rewards Enrollment Complete screen to keep your account number as a reference.
Creating your SWABIZ account
After you have the above information, follow these steps to create your account, establish your preferences, and advise your travel program coordinator.
- Login to http://www.swabiz.com/ and click on Traveler Accounts.
- At the Traveler Accounts link, enter your Company ID Number, your Rapid Rewards account number and your password (created during the Rapid Rewards account set up).
- Enter your travel preferences using the left side bar for Air travel, contacts, and personal profile. Do not enter preferences for car rentals or hotels. These features are not available to the State.
- Advise your travel program coordinator that you have created your Traveler Account. Your travel program coordinator can then approve the appropriate billing information for you to use when booking your air travel. (The billing information will populate in a drop-down menu during the booking process.)
Tips: You can create trips you make frequently by naming them and saving the information. The next time you are planning to make that same trip, simply choose it from a drop-down menu on your reservation page.
Changing your reservations and managing your account
Use SWABIZ to check flight schedules on the Southwest Flight Status system and quickly make changes to an existing itinerary.
Your travel program coordinator has access to all department traveler accounts for reporting purposes, budgeting, and tracking travel volume. |
