Lodging

Because each department manages its own travel program, policies may differ by department. Contact your Travel Program Coordinator for more information.
 
American Express manages a Lodging Guide that can help State travelers find hotels that offer the State rate. Travelers may also use a State-certified travel agency (fees apply), or find their own hotels.
 
How to pay: Use your department centrally billed American Express Business Travel Account (BTA), your individual American Express government card, or your own personal credit card depending on department policy. For the latter two options, submit a TEC (PDF format) for reimbursement.
 
Lodging checklist
  1. Verify the State maximum daily rates for short-term lodging for the geographic area of your destination.
  2. Find lodging in your destination location. You have several choices:
    • Use the American Express Lodging Guide. Select your destination city in the left frame and then select a hotel or motel. You should then contact the establishment to obtain current information.
    • Or… ask a State-certified travel agency to help you find lodging.  Some departments require using a travel agency.
    • Find your own lodging.
  3. Reserve your room. Does the price of your room exceed the maximum lodging rate allowed for the geographic area? You must submit in advance to DPA an Excess Lodging Rate Request/Approval form (form STD. 255C) (PDF format). This form also includes maximum lodging rates.
  4. Complete the Hotel/Motel Transient Occupancy Tax Waiver (PDF format) form (Form STD. 236) and submit it to the hotel. (As a State agency employee, you are exempt from hotel transient occupancy taxes.)
  5. After your return, promptly complete paperwork for your trip.
